Phonesuite maintains its own PMS middleware, so the interface is part of the platform rather than a licensed box from a third party. If your property is scheduled for a PMS changeover, tell us the date during the survey — we test the new interface in advance and stay on the bridge the night it happens.

What property owners and general managers ask us before replacing a hotel phone system.

Will this work with our PMS?+
Almost certainly. Phonesuite builds and maintains its own PMS interface middleware, including the Marriott platforms your property is most likely running — FSPMS, FOSSE, Lightspeed, and the new Stay PMS — along with Oracle OPERA and OPERA Cloud. Because the interface is built into the platform, there is no separate Comtrol or Tiger interface box to purchase, license, or troubleshoot. Tell us your PMS and version during the assessment and we will confirm the exact interface before you sign anything.
Do we have to replace the phones in our guest rooms?+
No. This is the single biggest cost difference between us and a typical proposal. Voiceware supports your existing analog guest room handsets and in-room wiring, so a 120-room property is not buying 120 new phones to modernize its phone system. If your handsets are genuinely worn out or your brand requires a specific model, we will tell you and quote them — but it is your decision, not a forced line item.
How does this handle Kari’s Law and the RAY BAUM’s Act?+
Three things are required of a hotel phone system, and we configure and test all three. First, direct 911 dialing — a guest dials 911 with no prefix and no operator in the middle. Second, on-site notification — the front desk and security are alerted automatically the instant a 911 call is placed, so staff can meet responders at the door. Third, dispatchable location — the specific room number and floor are delivered to the 911 center, not just the street address. We document the configuration and the test results so you have evidence on hand for an inspection.
Will our phones go down during the cutover?+
That is what the cutover plan exists to prevent. We stage and program the new system in parallel while your existing PBX stays in service, then cut over in a low-occupancy overnight window with a documented rollback path. Guest rooms stay in service. In practice the visible change for your staff is the new front desk console, which we train them on before go-live rather than the morning after.
Is Phonesuite acceptable for a Marriott-branded property?+
Phonesuite systems are in service at Marriott-branded hotels across the country, and Voiceware is built specifically for hospitality rather than adapted from an office phone system. Brand voice and technology requirements do vary by brand and are updated periodically, so as part of the free assessment we confirm the current standard that applies to your specific flag and provide the documentation your brand inspection will ask for. If a requirement rules something out, we will tell you before you spend money, not after.
Can you support our property if we are not near Austin?+
Yes. We deploy and manage Phonesuite for properties nationwide. Programming, monitoring, moves and changes, and day-to-day support are all handled remotely from our NOC, and we coordinate on-site work — the install itself, cabling, and hands-on hardware service — for your market. Multi-property owners get one point of contact and consistent configuration across the portfolio.
Can we keep our phone numbers and our existing trunks?+
Your numbers port over — guests and travel partners keep dialing exactly what they already have, and porting typically takes 7 to 14 business days. On trunking, you have options: Voiceware works with the analog lines or PRI you have today, so you are not forced into a carrier change on the same night you change phone systems. Most properties move to SIP trunking afterward as a separate, planned step, which is usually where the recurring cost savings show up.
We are mid-renovation or in a PIP. Is that the right time?+
It is the best time. If walls are already open and rooms are already out of inventory, the disruption and labor cost of touching telecom is at its lowest it will ever be. It is also when a property improvement plan is most likely to surface voice and life-safety items. Bring us in during planning and we will scope the phone system alongside the rest of the work instead of retrofitting it after the reopening.
We are moving from FOSSE to Marriott Stay. Should we wait on the phones?+
No — and in most cases waiting is the more expensive choice. The interface is the part that has to change, not the phone system, and we would rather build and test the Stay interface before your cutover than react to a broken integration the week after. Give us your PMS migration date during the survey and we will sequence the phone work around it, so the two projects land together instead of colliding. Properties still on FSPMS, FOSSE, or Lightspeed are supported the same way in the meantime.
What does it actually cost us every month?+
One flat monthly fee per property, scaled to your room count. That fee covers the platform, the numbers we host for you, unlimited guest and staff calling, monitoring, and 24/7 support — so there is no separate carrier bill, no per-minute usage to reconcile, and no support agreement quoted on top. We put the number in writing after the property survey, once we know your room count, your PMS, and what is already in your telecom closet. There are no per-minute surprises after you sign.
